A teaching clinic or a rehabilitation department is a therapy centre with different job titles. TheraFlow gives supervisors the whole department on one screen, gives every student clinician their own caseload, and keeps a complete record of every session, paid or not.
A new batch of interns arrives, caseloads are redistributed by hand, and the first two weeks of every rotation go to finding out who is seeing whom.
Student notes are reviewed on paper, so a supervisor cannot see which clients were seen this week, whose notes are pending, or how a child has progressed across three clinicians.
The hospital records the visit. The department records the session in a notebook. At the end of the month, neither number is the one the head of department needs.
Subsidised and no-fee sessions are real clinical work, but when the record is built around receipts they are the first thing to go unrecorded.
How many sessions did the department deliver this week? Which rooms sat empty? Which clinician has capacity? The answer is a walk down the corridor.
Reminders and progress updates go out from a student's personal phone. When the rotation ends, the family's contact with the department ends with it.
They see every clinician's day, every room and every department on one timeline, read every note, and run the reports. Student clinicians see only their own caseload.
Each intern has their own login, schedule and clients, and writes session notes on their phone at the session. When a batch rotates out, their clients are reassigned from the schedule and the history goes with the client.
Speech, OT, physio and special education each run as a branch with their own clinicians, rooms, rate card and reports. One institution, one sign-in, a switch between departments.
Sessions per clinician, per room and per department are a number on a dashboard, not an estimate. Empty slots show up as gaps to fill.
A session can be free, subsidised or full-rate and still count toward attendance, caseload and the client's progress. The clinical record does not depend on a receipt.
Reminders, confirmations and progress updates go out on the department's own WhatsApp Business number. The relationship stays with the institution when the intern moves on.
A college speech and hearing clinic books sessions, marks attendance, writes notes against goals, and reports progress to a parent and to a supervisor. A hospital rehabilitation department does the same with a referral at the front. That is the workflow TheraFlow already runs for therapy centres.
So we did not build an institutions edition. We built a translation: supervisor to admin, student clinician to therapist, department to branch, caseload to utilisation. Every feature on this page is live in centres today. What changes is the label on the screen and who is allowed to see what.
It is not a hospital information system, and it does not replace one. Registration, central billing and the medical record stay where they are. It does not grade students or run an academic calendar. It runs the therapy department completely, and it stops at the department's door.
